Start with a brief belief about fair and reliable service. Keep the background short. The action section should explain how you clarified the complaint, reviewed the account or record and decided what could be done. Include the way you communicated the outcome so the customer understood it.

A good answer also shows that you completed the work. Giving an apology or passing the case onward provides limited evidence by itself. Explain how you confirmed the correction, recorded the contact and reduced the chance of another avoidable complaint.

Choose an example with a clear service standard. This could be a response time, an appointment process or an accuracy check. The result should show that the customer received a proper answer and that the service record remained reliable.

Example Answer

I believe complaints should be handled calmly, with the facts checked before any promise is made. The customer should leave knowing what has happened and what will happen next.

While working as an appointments assistant, I received a call from a customer who had travelled to an office after receiving a confirmation letter, only to find that no appointment was recorded. They were upset and asked for an immediate explanation. I was responsible for checking the booking and arranging the correct next step.

I let the customer explain the issue without interrupting and confirmed the details from the letter. I checked the booking system and found that the appointment had been entered under an incorrect reference number. I compared the date and adviser details with the daily schedule and confirmed that the original slot had already passed.

I apologised for the service failure and explained the error in plain language. I checked the earliest suitable appointments and arranged a priority slot with the team leader’s approval. I emailed the new confirmation while the customer was still on the call and asked them to check the details. I recorded the complaint and attached a copy of the original letter so the cause could be reviewed.

The customer attended the replacement appointment and sent a message thanking the team for resolving the issue. My manager used the case to remind staff to verify reference numbers before issuing letters.
