EO Changing and Improving Interview Example About Reducing Manual Work

Reducing repetitive manual work can provide strong EO Changing and Improving evidence when the change is controlled and useful to the service. The EO Civil Service interview guide contains grade-specific questions that focus on practical improvement and personal ownership. Use it before your interview so the structure and evidence are ready when the panel begins probing.

Question

“Tell me about a time when you reduced unnecessary manual work in a process.”

What Is Being Looked For

The panel wants to hear how you identified an inefficient step and confirmed that it was worth changing. At EO level, the improvement may be local, though it should have a clear effect on time, accuracy or service consistency.

Use B-STAR to explain your approach to improvement. The action section should show how you understood the existing process, involved the people using it and tested the new method before wider use. This keeps the answer grounded in evidence.

Automation can be simple. A validated spreadsheet, approved template or system function can remove duplication. Explain the controls you retained so that saving time did not weaken accuracy or information handling.

The result should show what changed in normal work. Include time saved or errors reduced when you have reliable evidence. Adoption by colleagues can also show that the solution was practical.

State the original manual effort in a way the panel can picture. Then explain which part you removed and which check you retained. This makes the improvement credible and shows that efficiency did not replace professional judgement.

State how you gained approval and how colleagues learned the new method before it became normal practice.

Keep the result tied to normal operations.

Example Answer

I believe improvement should remove work that adds no value while keeping the checks that protect customers and the organisation.

As an EO business support officer, I produced a weekly report from four team spreadsheets. I copied totals into a master file and manually checked each figure. The process took several hours and small formatting differences regularly caused formulas to fail.

I mapped the information used in the report and confirmed that every team collected the same fields under different headings. I spoke with the report owner and the team administrators to understand which local fields they still needed. I then built one approved template with consistent headings, locked formulas and a validation check that flagged missing values.

I tested the template using previous data and asked two administrators to complete it during a trial week. Their feedback showed that one guidance note was unclear, so I added an example and simplified the entry rules. I documented the process and arranged a short session before the next reporting cycle. I retained a manual sense-check of unusual changes because that judgement remained important.

The weekly report preparation time reduced substantially and formula errors stopped during the following reporting periods. Colleagues also spent less time answering queries because the template made the required information clear.

Use an improvement you genuinely influenced and explain the controls that made it safe. The EO Civil Service interview guide includes further Changing and Improving questions and sample answers before you finalise your preparation.
