I believe complex information becomes useful only when the audience can understand what it means for them and what action they need to take.

As an EO project officer, I supported the introduction of a new expense process. The official guidance used financial terms that frontline staff rarely encountered, and early submissions showed that people were choosing the wrong categories. I was asked to explain the change before the next claim period.

I reviewed the rejected claims and identified the points causing most confusion. I rewrote those sections in plain language and created a one-page guide that followed the order staff completed the form. I used examples based on common expenses and marked where receipts or approval were required.

I delivered two short sessions for staff on different shifts. I started by explaining why the process had changed, then worked through a sample claim on screen. I paused at each decision point and asked staff what they would select. Their answers showed that one definition remained unclear, so I rephrased it and added another example. I sent the final guide after the sessions and invited questions through a shared mailbox.

Rejected claims fell during the next reporting period, and staff raised fewer basic queries. The finance team adopted the guide for new starters because it gave them a clearer route through the process.
