I found three further letters with the same issue. The template contained an old sentence that staff were expected to amend manually for one case type. I recorded the affected cases and told the team leader. I checked each customer’s actual deadline and contacted them with corrected information.

I proposed a separate approved template for the case type so the correct wording appeared automatically. I worked with the policy owner to confirm the wording and asked two colleagues to test the template against sample cases. I then wrote a short note explaining when to use it and added a template check to the weekly quality sample for the first month.

No further incorrect deadlines appeared during the monitoring period, and the quality check confirmed that staff were selecting the right template. The change also removed a manual step from each case.
